Rethinking Supplier Management
Procurement teams in mid-to-large enterprises juggle dozens — sometimes hundreds — of suppliers across geographies, categories, and compliance regimes. Spreadsheets, emails, and disconnected portals create data silos that lead to duplicated effort, missed savings, and unmanaged risk.
The Biztimize Business Network consolidates your entire supplier lifecycle into a single, integrated platform — from discovering new suppliers to analysing spend patterns across your supply base.
1. Discover & Connect with Verified Suppliers
The Supplier Discovery module is your starting point for finding new suppliers within the network:
- Search & Filter — browse suppliers by industry, category, location, certification, and product type.
- Rich Profiles — view company overviews, product catalogs with images and specifications, compliance documents, and financial health summaries — all before making contact.
- Ratings & Risk Badges — aggregate review ratings (1–5 stars) and risk score badges (Low / Medium / High / Critical) are shown directly on supplier cards, helping you shortlist with confidence.
- Connection Requests — send a connection request to initiate a buyer-supplier relationship. Once accepted, both parties gain access to collaboration features.
2. Verify Supplier Credentials
Trust is foundational to procurement. The Business Network provides built-in verification tools:
- GST & PAN Verification — validate supplier tax credentials with format checks, cross-validation (PAN embedded in GST), and optional external API verification. Every check is logged in an audit trail.
- Compliance Monitoring — the system automatically tracks compliance document expiry dates. You receive notifications when a connected supplier's mandatory documents (ISO certs, insurance, licences) expire, so you can take action before it becomes a risk.
- Financial Health Assessment — review supplier-uploaded financial statements (balance sheet, P&L, cash flow) with key figures like revenue, net profit, and net worth. A built-in review workflow lets your team verify or flag submitted statements.
3. Automate RFQs & Collect Competitive Quotes
The RFQ Portal streamlines competitive sourcing:
- Publish RFQs — create Requests for Quotation with line items, specifications, quantities, and delivery requirements. Invite connected suppliers or broadcast to the network.
- Supplier Responses — suppliers submit line-level pricing, lead times, and delivery terms through a structured form, eliminating back-and-forth emails.
- Quote Comparison — the built-in comparison view lets you evaluate quotes side by side across price, lead time, and terms.
- Award & Convert — award the RFQ to your preferred supplier(s) and convert directly into Purchase Orders with a single click.
4. Collaborate on Orders & Shipments
Once a PO is issued, the network keeps both parties synchronised:
- PO Acknowledgement — suppliers formally acknowledge receipt, request changes, or flag concerns. You see the real-time acknowledgement status on your PO dashboard.
- Incoming Shipments — track shipments with carrier, tracking number, expected delivery, and line-level quantities. The Incoming Shipments page gives your warehouse team visibility into what's arriving and when.
- Delivery Confirmation — confirm receipt, note discrepancies, and trigger goods-receipt workflows.
5. Automate Invoice Verification with Three-Way Matching
Supplier-submitted invoices are automatically validated by the Three-Way Matching Engine:
- PO → ASN → Invoice — the engine compares invoice line items against PO terms and ASN quantities at both header and line-item level.
- Match Outcomes — Full Match (auto-approve eligible), Partial Match (flagged for review), or Mismatch (routed to dispute resolution).
- Variance Reporting — detailed variance reports show exactly where quantities or prices diverge, saving your AP team hours of manual reconciliation.
- Supplier Invoice Review — a dedicated page for your procurement team to approve, dispute, or route invoices for payment processing.
6. Assess Supplier Risk Proactively
The Supplier Risk Scoring Engine calculates a 0–100 risk score for every connected supplier, based on:
- Compliance Health — document validity and renewal track record.
- Delivery Performance — on-time delivery rate across all orders.
- Invoice Accuracy — three-way match success rate.
- Review Scores — aggregate buyer ratings across quality, delivery, communication, and value.
Risk categories — Low, Medium, High, and Critical — are displayed as badges on supplier cards, dashboards, and the discovery module. Scores are recalculated automatically via periodic background tasks, ensuring your risk view is always current.
7. Make Data-Driven Decisions with Spend Analytics
The Spend Analytics Dashboard transforms your procurement data into actionable insights:
- Spend by Supplier — identify concentration risk and opportunities for consolidation or diversification.
- Spend by Category — understand which material groups and industry categories consume the most budget.
- Trend Analysis — month-over-month spend trends with variance to prior periods, helping you spot anomalies early.
- Supplier Performance Correlation — overlay spend data with ratings and risk scores to ensure you're investing in reliable partners.
8. Communicate Seamlessly
The In-App Messaging system provides a structured communication channel with every connected supplier:
- Thread-based conversations linked to specific supplier connections.
- Message types — text, document requests, and status updates — keep discussions organised and audit-friendly.
- Read receipts, unread badges, and email notifications ensure nothing falls through the cracks.
9. Rate & Review Suppliers
After each transaction, your team can rate suppliers across four dimensions (Quality, Delivery, Communication, Value) and leave a written review. These ratings:
- Feed into the supplier's aggregate score visible on discovery cards.
- Contribute to the risk scoring engine's calculation.
- Create an institutional knowledge base of supplier performance that persists beyond individual employees.
The Bigger Picture
The Biztimize Business Network isn't a standalone tool — it's deeply integrated with the broader Biztimize ERP ecosystem:
- SRM Integration — RFQs and POs flow between your Supplier Relationship Management module and the network.
- Finance Integration — approved invoices feed into Accounts Payable for payment scheduling.
- Workflow Engine — approval workflows, notifications, and escalation rules apply consistently across network transactions.
- RBAC — fine-grained permissions (14+ codenames) control who in your organisation can discover suppliers, submit reviews, approve invoices, and access analytics.
By centralising supplier discovery, collaboration, verification, and analytics in one network, procurement teams spend less time chasing emails and more time making strategic sourcing decisions.
